The shape that works best at this size is a takeover. Instead of renting a venue for six hours, you take a private estate for three nights (most wedding villas set that as a minimum anyway) and the wedding becomes a long weekend instead of an event.

The pattern we plan again and again: guests arrive Thursday, a casual welcome dinner that night, the ceremony and one long candlelit table on Friday, then a slow poolside brunch on Saturday before anyone leaves. Three days together does something no single evening can.

Why the budget goes further per head

Catering is the cost that scales: roughly 40 to 80 USD a head for a generous family-style dinner, 150 to 250 once you want plated courses and a free-flowing bar. At 25 guests, even the top of that range stays manageable. The costs that stay flat, photography, planning, the celebrant, music, do not care whether the room holds 20 people or 90.

The guest list is the hard part

We will be honest: the hardest work in an intimate wedding happens before we are hired, when you cut the list. Going from 80 names to 30 means someone’s cousins stay home, and couples underestimate how much diplomacy that takes.

Our advice after years of these: draw the line at people you have shared a meal with in the past year, and hold it. A list built that way produces a wedding where every speech lands and nobody checks their phone.
